Welcome Email Examples: 10 Best Templates

This article aims to give its readers 10 of the best welcome email examples they can use for their own company. By showing what 10 other companies do we hope our readers can imitate the success of these other companies.

Are you looking to attract more customers with an amazing email campaign? Look no further; the team at rvResortScout has found/created 10 of the best welcome email examples ever made. But why are they even necessary?

Writing great introduction emails sets the tone for the rest of the conversation between you and your customers. Undoubtedly emails are a great way to engage with a get to know your customer base on a deeper level. The value an excellent introduction email brings to your business is immeasurable. It allows your customers to set an expectation and understand the quality of your work. The largest companies have used these ten email templates and have consistently delivered outstanding results.

Before we get into the examples, we need to understand the importance of welcome emails and what each email needs to convey.

Introduces the Brand/Individual

Introducing the brand or individual needs to be done in every email campaign, regardless of whether you’re a small business or a massive corporation. But where you choose to introduce yourself is a debate. Some argue you need to introduce yourself and your product right away. Others say you can wait until the third or fourth email to give a proper introduction. I choose to introduce myself in the first email. I think of it like this; if I’m meeting a person for the first time, I don’t wait until the third or fourth interaction to tell them my name and what I do. I give a quick and proper introduction right away, so we can get to know each other on a personal level. Which is why I always let people know that we specialize in RV Park and campground directory services.

There are a couple of things to remember when introducing yourself. First, tell your customer your name and position within your business. Next, introduce your brand and what you guys stand for. Lastly, always let your customers know how to reach you if something goes wrong.

Note*: That last part adds significant bonus points to the trust department. People like knowing you will be there for them if anything goes wrong. Keep that in mind when reading the welcome email samples we present below.

Why This Works

  • Introducing yourself establishes trust
  • Allows your customers to know you and your brand
  • It gives a professional appearance to yourself and your brand
  • Sets the tone for the whole interaction between you and your customer

When Crafting Exceptional Welcome Emails, Set Expectations

In the realm of effective welcome email examples, a recurring pattern emerges: the establishment of clear expectations. Your welcome email assumes the critical role of laying the foundation for customer interaction. It serves as the initial opportunity to showcase your brand’s values, demonstrate how you can authentically assist your customers, and inform them about the frequency of future communications.

By setting expectations in your welcome email, you cultivate a sense of transparency and reliability. Your customers gain an understanding of what your brand stands for and the type of experience they can anticipate throughout their journey with you. This pivotal moment allows you to instill confidence and trust right from the start.

Moreover, a well-crafted welcome email conveys your genuine commitment to assisting customers. It showcases how you are uniquely positioned to address their needs and desires. Whether it’s through personalized recommendations, exclusive offers, or expert guidance, your welcome email can highlight the value you bring to their lives.

Equally important is the aspect of communication frequency. By explicitly mentioning when customers can expect to receive future emails, you establish a sense of regularity and prevent potential concerns about spam or overwhelming inbox clutter. This assurance empowers customers to anticipate and engage with your future communications, knowing that you respect their time and inbox space.

In essence, all great welcome email’s share a common thread of setting expectations. By capitalizing on this opportunity, you not only shape the initial impression of your brand but also lay the groundwork for a fruitful and lasting customer relationship.

How To Do This Effectively In Your Welcome Email Examples

  • Use a tone that matches your brand – Ex. If you are a kids brand, be playful and upbeat; be sure to display a serious, more professional tone if you are a lawyer.
  • Use correct word choice – Again, using the right words is essential. Use words that reflect your brand’s overall “feel.”
  • Let your customer know when the following email is coming – Make sure you are honest and plan this out.

Welcome Email Examples – Good First Impression The Overarching Rule

This one is straightforward and should always be done when crafting your welcome email templates. But your overarching goal here should be to make a great first impression. So instead of telling you how to do this, I’ll let you continue reading the article. Make sure you ask these questions as you create your welcome email.

  • Does the email make a great first impression?
  • Does it make the brand memorable?
  • What about this welcome email that is instantly engaging for the subscriber?
  • Are you establishing trust?
  • Have you set expectations?

Deliver Value: A Common Theme in our Welcome Email Samples

We found that they all delivered value when looking for notable welcome email examples. Your reader is looking for some value from your business. Otherwise, why would they even consider spending their money on your business? Just think about it; probably 10-15 or more companies offer a very similar service to you. It would be best to clarify why they should do business with you. In other words, the value you deliver needs to be clear to the reader from the start. Let them know how you will make their life better and easier. Show them the benefits your products have to offer.

What To Do

  • Explain the benefits of your product – Not just the features. This great article will help you distinguish between benefits and features.
  • Explain how it will make their life better
  • What are the distinguishing factors from competitors
  • If cost is relevant (meaning your service is at a very different price-point when compared to your competitors, this can be your chance to explain why)

Reinforces Benefits

A well-thought-out email template reinforces the benefits of your product or service. We have briefly spoken about how important it is to let your customers in on your product’s benefits. But let’s go into more detail about how you can do it in your welcome email. Follow these steps when crafting your welcome email.

  1. Identify the features of your product.
  2. Determine how the features become benefits.
  3. Explain how these benefits make your customer’s life easier.
  4. Show the product or service in action.

And that’s it. It can be as simple as delivering outstanding results that engage customers and might get you a few more purchases along the way.

Welcome Email’s: 10 Note Worthy Templates

These ten welcome email examples are yours to copy and modify to your business needs. Remember, they must fit your brand personality and tone and fit right in with your target audience. One last word of advice before we begin. Experiment. Experiment and see what works best for your business. Don’t be afraid to do some testing to see what delivers the best results. It’s ok to fail. Keep trying until you find the combination that gets you great results with your audience.

What rvResortScout Uses In Our Welcome Email Examples

Yeah, you can call it tooting your own horn, but our opening emails are pretty damn good if I say so myself. Here take a look:

rvResortScout's Welcome Email Example: A delightful image of an email extending a friendly greeting to new newsletter subscribers.
rvResortScout Welcome Email Example

Why this template has been working for us:

  • It introduces me, the sender (David), and my position.
  • Also, it gives a quick link to rvResortScout if anyone wants to know more about us.
  • We are a professional RV Directory, so we want to come across as knowledgeable and trustworthy in the tone and diction we use.
  • Quick list of the benefits of the newsletter.
  • We let the reader know when they can expect to hear from us again
  • And we give them a quick and easy way to contact us by using our email signature and “scheduling a meeting.”

This welcome email example modified this same email to fit several of our email marketing campaigns, so it has been highly successful. We find that people engage with the welcome email and are receptive to our subsequent emails.

Moosend

Moosend has been a leader in email templates for a long time. Indeed, if anyone knows how to create a fantastic opening email, it’s them. Here take a look at what they have to offer:

Moosend Welcome Email Example: A delightful image of an email extending a friendly greeting to new Moosender subscribers to their email list.

What they do great

  • A very clean and simple message
  • A quick introduction into what the user can expect
  • It provides a way for the user to take further action immediately
  • Minimalist design
  • It gets straight to the point

We wanted to highlight something we find that Moosend does exceptionally well. They have a simple yet effective value statement: Making the most of your account matters most to us. It lends trust and credibility and clearly shows how they plan to take your business to the next level.

Summer Tomato

Darya Rose runs a small business, holds a Ph.D., and is a neuroscientist. So as you can imagine, she is a busy woman who makes the most of her emails.

Welcome Email Examples: A delightful image from Summer Tomato of a personalized welcome email with some curated post to read.
Summer Tomato Welcome Email Example

The example above is one of the best welcome email examples I have seen. It is so simple that nearly anyone can pull it off. They pile in the benefits of their program, make a great first impression, and set some high expectations for their brand. As a bonus, they even throw in a free download which lends to the credibility of the entire company.

What I love

  • The simplicity of the email – they use already written blog posts, label it “Starter Kit,” and send it off in a welcome email. Because it’s so simple, it works beautifully and is a great way to go if you are low and time and can’t create content for every individual welcome email you have.
  • The email comes off as highly professional
  • Personal – Adds her name at the bottom
  • Value = Getting fit and losing weight FOREVER

Side Note* – The only thing I wish they would have done a bit better was letting the reader know when they will be hearing back from them. They do give the reader the option to reach out to the company, but in my experience, it is always best to let the reader know when they can expect to hear from you so they can be on the lookout.

Airbnb

Airbnb is one of the most well-known companies globally and grows every day. They have made it a priority to focus on their email content. Their focus on email-based content allows them to deliver quick answers and allows both hosts on Airbnb and guests using Airbnb to stay in the loop.

Airbnb Welcome Email Examples: A warm image of an email to it's hosts who have joined the platform.
Airbnb Welcome Email Template

One of the world’s biggest companies uses a simple welcome email to help facilitate its growth. Notice how Airbnb does not use an introduction, set expectations, or even (in my opinion) make a great first impression. Yet, they have been successful in using this approach.

This approach is not for most small business owners reading this post, but for the select few with followings of well over 100,000, and your name is well known, this approach could suit your business. Once your business reaches a certain level, you may not need to introduce yourself. People already know and understand your brand. Instead, you can now focus on giving great answers and providing links to new information, and it delivers all the relevant content in a simple and easy-to-read email.

Moo

Moo offers a bit of a contrast to styles that we typically see in an opening email. For example, in their welcome email, we know that they focus on the visual aspect of their email. They hope the visual element will lead to higher engagement and more customers buying from them. They use various Calls to Action to engage their customers with their content. Let’s take a look.

Welcome Email Examples: An image of Moo's welcome email offing savings and welcoming new subscribers.
Moo’s Welcome Email Sample

This email template by Moo lets you access their whole website from this email. The content is spot-on for what they are trying to portray, and their images keep you engaged. Their email tells you what they are all about, lets you see some of their work, and shows you the benefits of going into business with MOO. Certainly, they make an unforgettable first impression, and as a company, rvResortScout has thought about partnering with us to do some of our printed material. While they do not let you know when they will reach out to you, they offer an excellent customer support line and ways to learn more about what MOO stands for.

What I love

  • Calls to Action – There are three distinct calls to action on their email: Contact Us, Read More, and Shop Now; all of which keep the customer engaged and on MOO’s website/email
  • Images – They use stunning photos to keep their email audience engaged
  • Clear email – You know what MOO stands for and how it can help your business

Besame Cosmetics

Another common strategy to deploy when creating welcome emails is to give away a free item or include a coupon code. In the following email example, we will be looking at Besame Cosmetics. Who uses the promo code strategy arguably the best out of the ten welcome email examples we will cover today? They offer a 10% off coupon code with their welcome email.

Welcome Email Examples: An image of Besame Cosmetics welcome email offering up a discount code to new subscribers.
Besame Cosmetics

Not only does Besame do a great job in adding pictures and colors to their welcome email. They engage the reader by offering 10% off their next purchase. This discount is an incentive to try their products right away. While they don’t necessarily give a great introduction, you know what to expect from them in subsequent emails. More discounts, professional writing, and visually appealing emails.

Other Things I Love

  • Simple Call to Action – Shop Now
  • Colors that match the whole tone of the email
  • Display one of their more popular products
  • Easy to remember discount code

United By Blue

United By Blue is a clothing store that focuses on making great clothes and uses an environmentally friendly approach. And their welcome email sets the stage for their whole company. Immediately, you are hit with a powerful statement to make you stop and think about the damage we are doing to the world’s oceans. They use this as an attention grabber and show you how shopping at their company can leave a positive environmental impact.

Welcome Email Examples: An image of United by Blue's initial welcome email with a discount code and facts about how ocean pollution affects our planet.
United By Blue: Welcome Email

Does it introduce the brand? Yes. Does it make a good first impression? Yes. Is it impactful? Yes. Is there massive value behind the email and brand? Yes.

Undoubtedly, this email checks off several boxes and makes it one of the most potent emails discussed in this article. You can contact the brand, join a cleanup, and a whole bunch more. For this reason, United By Blue out is one of the most powerful welcome email examples your company could follow.

What I Love

  • Powerful opening
  • Easy way to get in contact
  • Introduces the brand
  • Offers discount
  • Includes a gift card giveaway
  • Easy-to-follow social media pages

Burt’s Bees

A well-known bee-friendly company has also created a pretty impressive welcome email template for other businesses. It is simple, effective, and perfectly fits the brand’s message.

WelcomWelcome Email Examples: An image of Burts Bees welcome email, featuring the founder, and a coupon code for new subscribers. Followed by a list of member perks.
Burts Bees Welcome Email Template

Disclaimer: This email is from 2019 and might have been updated to reflect Burt’s Bees’ new offerings.

Nevertheless, it is an excellent example of how a simple email can deliver outstanding results. First off, let’s talk about the subject line for this particular email:

HIVE FIVE! YOU’RE OFFICIALLY AN INSIDER.

Using a clever pun, they draw you in from the get-go and make it known that you are now part of an exclusive club they offer. They follow this up with a promo code, a call to action, contact information, and the ability to better get to know their products. Undoubtedly you are now excited to be part of this club; even if you weren’t before, you are now.

What’s So Great About It

  • You earned a title: A “New Bee.”
  • Has contact information
  • Promo Code that can also help send visitors to the website
  • Vibrant Colors that match the brand
  • A beautiful authentic picture of how they source their honey

MasterClass

MasterClass is one of the fastest-growing online knowledge-based communities. You can surf through various classes and be taught subjects by the “masters themselves.” And whoever taught Masterclass how to deliver such masterful welcoming emails should pat themself on the back. Surely, this call-to-action-based email is the perfect example of how to make your welcome emails impactful.

Welcome Email Examples: A visually stunning email filled with info for the new subscribers. Featuring information from its instructors, such as Gordon Ramsey.
Masterclass Welcome Email

Gordon Ramsey and Margarett Atwood as the opening image on your email! How can you get any more impactful than that? If you want to learn from experts, this email screams this is the place to be. While a bit light in content, this email sets expectations, makes an impact, introduces several benefits, and delivers immense value. They even wrap it up by offering access to the “All-Access Pass” to learn from “the best minds in the world.”

What You Should Use In Your Templates

  • If you have any well-known people working on your project, this can be the perfect time to showcase that.
  • Clean, simple design elements – works perfectly for people who are not super artistic.
  • Great calls to action, so your audience knows what to do next.

Hiut Denim

A jean store that knows how to make a splash with a beautifully crafted welcome email. For example, Hiut Denim provides a picture that captures your attention and makes a perfect introduction. The Co-Founder “David” introduces himself and what he and his company embody. Besides a solid introduction, he offers a free digital copy of their user manual, a statement in their newsletter, and some of the biggest things that drive him.

Welcome Email Examples: A visual example of Hiut Denim Co. welcome email with an image of the founder, personalized welcoming the new subscriber.
Hiut Denim Co. Welcome Email

Creating trust can be difficult for a lesser-known brand such as Huit Denim. But David has crafted an exceptional welcome email template that nearly every business owner can copy. His main job is to “inspire you.” Think of what your company strives to achieve and ensure your opening email conveys that message.

How To Improve

  • In addition to the email’s beautiful layout, I would like to see more of the company’s benefits.
  • Set expectations a bit better – when will I get my first newsletter? Let the audience know so they can be on the lookout.
  • More Value – Tell me more about the product and how it will be a game-changer in my life.

Welcome Email Examples Closing Statements

Additionally, here’s a bit more info to help you see how important sending a welcome email is. According to First Impression Email Marketing Study, only 39% of brands even send a welcome email. And 41% of brands don’t even send a welcome email within 48 hours. So send the dang email!

Just imagine how easily you will stand out from the competition when you send your welcome emails. Using these examples, you will engage your audience and gain lifelong customers based on the information you give them in these opening emails.

Finally, you may have noticed that some sections contain: what I love, how to improve, what’s so great about it, etc. Using this phrasing was done intentionally. My hope was in doing so; you could see how to judge your welcome emails. In reality, these welcome email examples are incredibly high quality and deliver outstanding results for these companies. However, don’t disregard my comment about how they could improve. Instead, implement these improvemewnts into your own email templates.
